Texting with RingCentral

This article will walk you through how to use the Texting feature in RingCentral. This would be most useful when contacting external parties. For internal communications, unless you have a specific reason to text, it makes the most sense to use the messaging feature. Since the time of recording, a few slight changes have been made to this application that will differ from what you see in the video below. These are minor differences and do not affect the functionality shown in the video. The Knowledge Base article below, is updated with the most recent layout. 

The differences are:

  • The Text icon is now on its own on the left.
  • Texts are listed for you on the Text List
  • To send a new text, click the quote bubble with the plus to the right of Text List at the top.
  • The Text From and Text To are swapped.
  • Press Next to confirm text regardless of whether it is a group message or not. 

The following are step by step instructions on how to use this feature are:

1. Log into RingCentral with the desktop app or in your Chrome browser at https://app.ringcentral.com

2. Click the Text icon on the left hand side

3. All of your current conversations will appear under the Text list on the left hand side. To select a text, simple click it from the list. You should see it appear in the center portion of your application.

4. To write back to a message, write it in the text box. When you are ready to send the message, click Enter on your keyboard. You can also attach files to the conversation or put an emoji by clicking on the paper clip or smiley face. 

5. To send a new text, click the Quote bubble with the plus sign at the top of the Text list. You can also click the plus sign in the upper right corner of the screen and select Send New Text. Either way will take you to the same place. 

 

 

6. The Text From number is your RingCentral number. Leave this as is.

If you are sending a text internally, type the name of the person you would like to text in the To field and select them from the list. If you are sending a text externally, type in the phone number of the person that you are texting to. PLEASE NOTE: The number that you will be texting from is your RingCentral phone number. Your personal phone number will NOT be used to text anyone, even if you are using the mobile app.

7. You can send text messages to external and internal contacts at the same time. When you include more than one contact on a text, the group text button is automatically checked off. This means that this conversation is public to everyone listed inside the To field. If you do not want to make this a group text, simply uncheck it. The message will then be sent separately to all of the contacts listed in the box. 

 

8. When you are ready to send your text, click Next

 

9. A conversation will now open up in RingCentral where you can put your message. Press the paper airplane to the right of the message to officially send your text.
