Oracle ESS Training Guide-Submitting Timecards

In this article we will go over how to submit your time card in Oracle as a Semi-Monthly Employee. This process is very similar to how time sheets were submitted previously using the Wagner time sheet portal. 

It is important to note that if you are using sick, vacation, or personal time, the process to submit that time still remains the same. Once you submit those days and they are approved, they will appear automatically on your time card so you do not have to input that time when you are filling out your time sheet

For step by step written instructions, please continue with this article. 

1. Log into the Oracle portal. Click Time and Absences. 

2. Click Current Time Card. It is recommended that you fill out your time card according to the current week. When you're entering your time, make sure you are doing so at the end of the day. The system will not let you save it unless you enter both a start and stop time.

3. Make sure to verify the week at the top to ensure that you are entering time for the correct week. 

4. Once you have verified the week, you can now proceed with entering your hours.

Position: Double click inside of the white text box. Select your position from the menu. 

Hours Type: Double click inside of the white text box. Choose accordingly.

Took Meal Break?: Double click inside of the white text box. Indicate here whether or not you took a meal break during your shift. 

Meal Duration: Double click inside of the white text box. Indicate how long your meal break was. Although this column is not marked as mandatory, it is important that you fill out this information. When your time card is processed, this duration will be taken into account when calculating your lunch break within your hours. 

Start time: Double click inside of the white text box under the column for the date you are entering time for. Enter your start time. Make sure to specify AM or PM. 

Stop time: Double click inside of the white text box.​​​​​​ Enter your Stop time. 

5. There are two ways to Save your sheet. Both will save your time card successfully. The only difference is where you are directed after your time card is saved.

You can press Save at the top or from the Actions menu, select Save and Close. With the save option, you will stay on the current page. With the Save and Close, you will be directed back to the Oracle homepage. 

 

6. Upon saving your time card, you may receive a warning banner at the top of your page alerting you that you have entered too many hours. The reason for this is that your meal duration has not been taken into account yet, but once your time card is processed it will calculate it properly. If you see this message, you can safely choose to save your time card and proceed. 

7. Follow this process each day to record your time. If you are ready to submit your time card, click Submit in the upper right hand corner. 

8.Upon submitting your time card, you may receive a warning banner at the top of your page alerting you that you have entered too many hours. The reason for this is that your meal duration has not been taken into account yet, but once your time card is processed it will calculate it properly. If you see this message, you can safely choose to submit your time card and proceed. 

 

Filling Out Time Cards for a Previous Week

It is recommended that you fill out your time sheet according to the current week. If for whatever reason you need to submit a time sheet from a previous week and the new week has already started, you can do so by following these instructions:

1. Click Time and Absences from the Oracle homepage.

2. Choose Add a Time Card

3. In the Time Card Period box, select the calendar to choose the first day of the week you are looking to enter time in for. 

4. Click Add in the upper right hand corner.

5. The time card for that week will be populated. Enter in the time using the same process explained above. When you are finished entering your time, click Submit. 

6. Upon submitting your time card, you may receive a warning banner at the top of your page alerting you that you have entered too many hours. The reason for this is that your meal duration has not been taken into account yet, but once your time card is processed it will calculate it properly. If you see this message, you can safely choose to submit your time card and proceed.
