Making a Call with RingCentral

This article will walk you through some of the features and functionality when using RingCentral to make a phone call. 

For a tutorial on how to use this feature, check out the following video:

1. Log into the RingCentral using the desktop application or your Chrome browser at https://app.ringcentral.com

2. To make a phone call click the dial pad in the upper right corner.

3. You can dial both internal or external numbers into the dial pad. If you are dialing internally, you can type the name of the person you wish to call or their extension. If you are dialing externally, type the full number into the dial pad as if you were dialing on a regular phone. 

4. While on your call there are a few things you can do:

Mute: This button will mute you so the caller cannot hear you

Keypad: This will bring back up your dial pad.

Audio: This allows you to make your call louder or lower. It also allows you to choose a separate device to use as your speaker and microphone if you are using anything different than your default computer microphone and speaker. 

Add: This will allow you to make your call a conference call. You can add both internal and external contacts on to your call. 

To add your contacts, type in their name or number into the dial pad and press Merge. This will bring them on to the call.

 

Video: This allows you to convert your call from a phone call to a video call. This option is for internal use only and will not work with an external number. 

In the last section with the three dots, you can put your call on Hold. 

You can also Transfer your call. To transfer, click Transfer from the options. Please note: Transfer will only work for internal calls. You cannot transfer a number to an external number. Put the number you wish to transfer to in the dial pad.

Ask first: This will put your caller on hold and will call the person you are looking to transfer to FIRST before the transfer is complete. This gives you the opportunity to let that person know who you are transferring to them. This is the preferred option.

Transfer: This is a basic transfer with no introduction so it will just send the caller to the number you are transferring them to without letting the person know who you are sending to them.

To Voicemail: This will just transfer the caller to the voicemail of the person you are transferring to.

Record: This will allow you to record your call if you wish to listen to for later use. The caller will hear a message letting them know that the call is being recorded. If they do not wish to be recorded, they can disconnect the call.

Park and Flip are other features you can use when making a call, but they will not be covered in this article. 

To end the call, click the red button.

Viewing your calls

Click the phone icon on the left hand side. Here you can see all of your calls collectively, your missed calls, and your call recordings. 

If you hover over the calls in these sections, you can see what actions you can take that are available to you. 

You can listen to all of your call recordings in the Call Recordings section. 

Please note that all recordings will be deleted after 90 days. If you wish to keep your recording, click the download button to the right of the recording you wish to keep in order to keep it on your computer. 

 

Another way you can make a call to someone is by doing so directly within an active messaging conversation with that person 

1. First, make sure you have the Message option selected on the left. Then access the conversation you are having with that person under Direct Messages.

2. Click on the phone in the upper right corner to call that person
